Your Impactful Role
In partnership with the Administrative Operations Manager, the AA Supervisor oversees the daily operations of the AA department.  This role requires someone with proficiency in effective training, planning, strategic thinking, analytical, and problem-solving skills.  This person encourages teamwork and collaboration.  The AA Supervisor is responsible for working with other department leaders to create workflows and resolve issues.  This person must also consistently promote exceptional internal and external customer service to build and maintain positive relationships.

Supervisor Responsibilities 
Partners with the Administrative Operations Manager to perform the following tasks: 

Strategic Planning

  • Develops and executes departmental goals and objectives.
  • Pairs with other department leaders to identify and resolve concerns and create more efficient workflows. 
  • Identifies potential areas for growth and executes a plan to increase patient referrals and physician revenue.
  • Uses resources effectively to ensure internal costs are contained.

Analytical Skills

  • Reviews current workflows to identify more efficient processes.
  • Establishes workflows for newly created tasks. 
  • Collects and presents data to the AAs, physicians, and leadership team.
  • Identifies areas of improvement, provides recommendations, and executes a workable plan.

Recruitment, Training, and Employee Development

  • Identifies departmental needs and recruits top talent.
  • Provides ongoing coaching and development for new and existing staff.
  • Creates educational material and resources for the staff including but not limited to flow charts, knowledge tests, grammar quizzes, etc.
  • Delegates assignments and offers opportunities for employee feedback and engagement.

Employee Management

  • Maintains knowledge of all administrative tasks performed by each AA.
  • Verifies the accuracy of staff’s work and ensures compliance and timely responses.
  • Provides coaching and development.
  • Recognizes team members for their accomplishments and contributions.

Performance Coaching

  • Sets objectives and motivates employees through constructive feedback and praise.
  • Identifies areas of opportunity, creates a workable plan, and pairs with the team members to provide training and support.

Departmental Support

  • Plans and hosts training sessions and meetings as well as departmental events.
  • Serves as the Subject Matter Expert and maintains Super User status for all programs and software.
  • Identifies and researches new programs and software that will create better efficiencies.
  • Educates other department leaders on shared workflows.
  • Resolves internal and external issues.

Continuous Learning

  • Assesses own strengths and areas of opportunity.
  • Pursues development through online courses, books, in-person seminars, etc.
  • Researches new products and software for our department which can help streamline our daily operations; proposes recommendations to the leadership team.
  • Maintains a full understanding of all tasks completed by each Administrative Assistant.
Qualifications
  • Minimum of 3 years working in an administrative or executive assistant role.
  • Proven ability managing several projects simultaneously while working in a fast-paced environment.
  • Subject Matter Expert in all software systems and departmental procedures.
  • Proven experience working with leaders to create workflows and/or resolve issues

  • Professional demeanor, committed to outstanding internal and external customer service, and highly approachable.
  • Exceptional oral and written communication skills.
  • Genuine passion for supporting leadership and the company and showing appreciation to staff.
  • Previous leadership experience is preferred but not required.
